Replace or turn off a room's link

Every room has a link for phones and a separate link for the room screen, and you can replace either one or turn it off in a moment. A page open on the old link closes at once and tells people to scan the code in the room.

Why you would

A link that was posted somewhere public, a session that has become invited guests only, or a room screen link that walked off on somebody's laptop. On a meeting on new links, replacing a link stops the old one working without changing anything else about the room: the captions, the laptop and the other link carry on as they were. On a meeting that still uses room-name links, the first new link or turned-off link changes every room's links; see Meetings that still use room-name links, below.

The two links

A room's phone link is the one on its printed sign and inside its QR code. Its room screen link is the full-screen page for the monitor by the door. Each ends in ten digits, which is what makes it hard to guess, and each can be replaced or turned off on its own.

Make a new link, or turn one off

On the Rooms tab, open the room's menu and choose New phone link or New room screen link, then confirm. The old link stops working straight away. A phone or a room screen that has it open closes it and shows: This caption link has been replaced. Scan the code in the room, or ask the organizer for the new link.

A new phone link means a new QR code, so print the room's sign again straight after. The QR code on the room screen follows the new phone link by itself. A new room screen link has to be opened on that screen again.

Turn off phone link and Turn off room screen link stop that link in the same way and make no new one, and a room screen whose link is turned off keeps showing that notice. Choose New phone link or New room screen link whenever you want it back.

Meetings that still use room-name links

Meetings made before these links existed keep their old ones, with the room's name in them, so the signs you already printed keep working. When you are ready, choose Turn on new links for that meeting, and print its signs again: from then on each room has links you can replace. New meetings start on new links.

Making a new link or turning one off for any room in one of these meetings turns on new links for the whole meeting at the same time, so the room-name links for every room stop working too, and every room's screen stops showing captions and shows that notice instead. The confirm says so before you press it. Print the meeting's signs again afterwards, and open each room's new screen link on its screen.

With only a phone Making a new link and turning one off both work from a phone, so you can act from the corridor the moment a link turns up somewhere it should not be. Printing the new sign needs a computer.
