A week before
- Make your account, and bring in the people who will run rooms with you. Sign in, and Who can do what.
- Make the meeting, add a room for each space that will caption, and import your schedule so attendees see which session they are in. Import your schedule.
- Choose the language spoken on stage and the languages attendees can read. Choose your language.
- Play the rehearsal on your own phone, to see what attendees will see. Rehearse before the day.
- Send the setup link to whoever has the laptops. It lasts seven days, so this is the week to send it. Someone else has the laptop.
- Ask the venue about the microphone and the laptop for each room, and send their IT team the list of addresses. What each room needs, and who to ask.
The day before
- Connect each laptop to your account, and let it choose its room. Put Frasiey on the room's laptop.
- In each room, press Test the microphone on the laptop, say a sentence near the room's microphone, and read back what Frasiey heard. The rehearsal that prevents a silent room.
- Print the signs, one for each room, and put them where people will see them. Print your signs and let people join.
- Decide when the rooms caption: follow the schedule, so the breaks are not billed, or Always, so a room captions whenever its laptop is running. What counts as a captioned hour.
The morning of
- Open Frasiey on every room's laptop, and leave it open. Is this room ready?
- Check the meeting's Dashboard in Frasiey online: every room should read Ready. Is this room ready?
- Say something in each room and watch the words arrive. When a room is silent.
- Scan a sign yourself, with your own phone. Print your signs and let people join.
Questions on the way
Write to hello@frasiey.com and tell us the meeting
and the room. A person reads it.
With only a phone
Most of the list. The rehearsal, the signs, the Dashboard and scanning a sign all work from a phone, and so does connecting a laptop by scanning its square. Somebody has to be at each laptop to install Frasiey and to test the microphone in the room.
What to do next
Start with the room itself: What each room needs, and who to ask.
