Help Set up the room

Print your signs and let people join

Every room gets one printed sheet carrying its own QR code, and that sheet is the whole attendee experience. People scan it, choose a language and read along, with no app to install and no account to make.

Print them

Open your meeting and go to Signs. You get one US Letter sheet per room, and it fits A4 without trimming. Press Print, and put a sheet in each room.

Each sheet carries:

  • the room's name, in large type,
  • a QR code about three and a half inches across, which scans from a seat,
  • the same link written out underneath, for a phone whose camera will not cooperate,
  • the access code, when you have set one,
  • three lines telling people what to do, and a footer saying it works on cellular or Wi-Fi with no app and no sign-in.

The sheet is black on white on purpose, so a photocopy still scans and a hotel business centre can run off twenty of them.

Where to put them

One by the door, where people walk in, and one near the front where anyone who sits down and then wants captions can see it. For a room that seats more than about a hundred, a third sheet halfway back earns its paper.

Set an access code, or do not

By default anyone with the link can read along, which is what you want for a public conference. For a private session, set an access code in Settings: four to thirty-two letters, digits, spaces or dashes. The sign prints it, and the reader asks for it before showing any words. Room staff can read it out.

Your own logo on the sheet

Add a logo in Branding and it prints on the sign, on white. See Your logo, your colour, your welcome screen.

Test one yourself

Before the doors open, scan your own sign with your own phone. You should land on the room, be offered a language, and see either live captions or a line saying captions will appear as soon as the room starts speaking. That is the whole attendee journey, and it takes twenty seconds to check.

With only a phone You can scan and check a sign from a phone, and you can send the link for a room to anyone from a phone. Printing still needs a computer, so print the sheets before you travel or send the page to whoever has the printer.
