Show captions in Zoom or Teams too

When part of your audience is on Zoom or Teams, you can send a room's captions into the call as well by pasting one link. Captions in the call are one language; everyone else, in the room or at home, scans the sign and reads in any of 100.

What you get

The words from the room appear as captions inside your Zoom meeting or Teams meeting, for the people who are not in the room. It is one language, the one spoken from the stage. Anyone who wants another language opens the room's own link on a phone, exactly as the people in the hall do, and reads there.

The room's audio still never leaves the room. Frasiey sends finished text to Zoom or Teams, never sound.

Zoom

  1. Once, in your Zoom account settings under Meeting and then In Meeting (Advanced), turn on Manual captions and the setting under it that allows captions from another service. If your organisation manages Zoom for you, this is the part your Zoom administrator has to do.
  2. Start the Zoom meeting.
  3. Click the arrow next to Show Captions, choose Set up manual captioner, and copy the caption link Zoom hands you. Zoom's own button says Copy the API token.
  4. In Frasiey, open the meeting and stay on its Dashboard. Find the room in the list of rooms, press the button marked Zoom / Teams at the end of its line (it says Show captions in Zoom or Teams too), paste the link and press Save.

Zoom gives you a new link every time the meeting starts, so this is one paste per meeting. Frasiey keeps the room connected, but Zoom's link dies with the meeting, so press Replace and paste the new one each time you start a Zoom meeting. Teams' link lasts, so Teams is a one-off.

Teams

  1. In the meeting options, under Accessibility, turn on Provide CART captions.
  2. Press Copy link.
  3. Paste it into the same field on the room's line and press Save.

Teams lets you do this from the calendar entry the day before, which makes it the easier of the two. Set it up the night before and there is nothing to do at nine in the morning.

Replacing it, and taking it away

Once saved, the room's line says Connected to Zoom (or Connected to Teams) and how long ago the link was added. Frasiey never shows the link back to you, because anyone holding it could put captions into your call. Press Replace to paste a new one, or Remove to stop sending captions to the call. Both are written down in the account's history.

If the call stops accepting captions on that link, the line says Zoom stopped accepting captions (or Teams stopped accepting captions) and how long ago it stopped, and asks you to paste a fresh link. That is what you see once a Zoom meeting has ended, because Zoom's link dies with the meeting. The paste field is already open in that state, so there is no Replace to press first: paste the new link from Zoom into the field under the line and press Save, and the captions start arriving in the call again. Remove is on that line too, if you would rather stop sending captions to that call.

The honest limits

  • One language into the call. Teams in particular shows the spoken language only.
  • Captions reach the call only while the room is captioning, so check the room is running before you promise it to anyone.
  • Google Meet has no way to accept captions from another service, so there is nothing to connect there. Send remote attendees the room's link instead.
With only a phone Pasting the link into Frasiey works on a phone. Copying it does not: you need the Zoom or Teams meeting open on a computer to get the link in the first place.
