Help After the session

Read, fix and download a transcript

Each captioned session is kept as a transcript for as long as the meeting keeps its words, and on the meeting's Transcripts tab you can read it, fix what was misheard and download it. A fix reaches the phones still reading that session, and every download carries it.

Find the session

Open the meeting and go to Transcripts. Every session is in one list, newest first, and Room and Day narrow it to one room or one day. Each session shows its room, when it started, how long it ran and how many lines it has. Times are in the meeting's own time zone. Search finds a word in the transcripts of the last two weeks and takes you to the line it was said in. For anything older, open the session from the list.

Fix a line, or hide it

Open a session and select a line to change its words. You fix the words in the language that was spoken, and the translations are made again from the fixed line, except in an older session (see below). Phones still reading that session pick up the fix, and an edited line shows who changed it and when.

Hide takes a line off the phones and out of every download without deleting it, and Show again puts it back.

Fix a name everywhere at once

Find & replace changes a word or a name everywhere it appears in that session's transcript, which is the fast way to fix a speaker's name the captions kept mishearing. Add the name to the meeting's Glossary too, so the next session hears it right.

Download it

Download gives you the transcript as plain text, as a Word document, or as a subtitle file (VTT or SRT) for a video of the session, in the language spoken or in any language it was read in. Choose the language at the top of the transcript first. Fixed lines download fixed, and hidden lines are left out.

Sessions more than two weeks old

When a meeting keeps its caption text until you delete the meeting, a session that ended more than two weeks ago still opens from the list. You can still read and download it in any language it was read in, and fix, hide and delete it. Two things change. Search no longer looks in it, so open it from the list instead. And a line you fix in it is not translated again, so a download in another language shows that line, fixed, in the language that was spoken.

The summary beside it

When Summaries was on, the session's summary sits beside its transcript. If a line was fixed after the summary was written, the summary says Written before a line was changed, so you know the two may not match.

Delete a transcript

Delete removes the session's captions, their translations and any summary written from them for good, and empties any phone still showing them. It cannot be undone. To clear everything a room has said so far in one step, see Delete a room's captions.

Anybody on your account can read and download a transcript. Fixing, hiding and deleting take the Operator level or above; see Who can do what.

With only a phone Reading a transcript and fixing a line both work on a phone. Downloading is easier on a computer, where the file lands somewhere you can send it from.

What to do next

Make the next session's transcript need fewer fixes: add names and terms to the Glossary, and check what attendees can do with it in Search, times and saved lines.
